By confirming a safari booking with Active Wonders Safaris, the client acknowledges and accepts the cancellation terms outlined below.
01Safari Booking Confirmation
A safari booking is considered confirmed once:
- The client has accepted the safari quotation or itinerary;
- The required deposit has been received; and
- Active Wonders Safaris has confirmed the booking arrangements.
A 30% deposit of the total safari price is required to confirm a safari booking.
The deposit may be used to secure and confirm services such as:
- Accommodation;
- National park and conservation fees;
- Ngorongoro Crater fees;
- Safari vehicle and operational arrangements;
- Professional guides and safari staff; and
- Other travel services arranged on behalf of the client.
02Client Cancellation
If the client cancels a confirmed safari, the following refund schedule applies:
| Cancellation Period | Maximum Refund of Deposit |
|---|---|
| 90 days or more before arrival | 75% |
| 89–45 days before arrival | 50% |
| 44–30 days before arrival | 25% |
| Less than 30 days before arrival | No refund |
The cancellation period is calculated based on the number of days between the date Active Wonders Safaris receives the client’s written cancellation request and the confirmed arrival date.
The refund percentages above represent the maximum refund available from the deposit and remain subject to applicable supplier cancellation charges and non-refundable costs.
03Supplier and Accommodation Cancellation Policies
Safari bookings involve arrangements with third-party service providers. These may include:
- Lodges and hotels;
- Tented camps and mobile camps;
- National parks and conservation authorities;
- Transport providers;
- Airlines and other travel providers; and
- Other suppliers involved in the confirmed itinerary.
Where a supplier has already charged a non-refundable fee or retained an amount paid on behalf of the client, that amount may not be refundable.
The final refund payable to the client may therefore be affected by actual cancellation charges and non-refundable costs imposed by suppliers.
04Cancellation Requests
All cancellation requests must be submitted to Active Wonders Safaris in writing by email or another officially accepted communication channel.
The cancellation date will be the date on which Active Wonders Safaris receives the written cancellation request.
A cancellation will be considered effective once it has been acknowledged by Active Wonders Safaris.
05Refund Processing
Where a refund is due, Active Wonders Safaris will process the refund after determining the applicable refund amount and confirming any relevant cancellation charges.
Refunds will normally be made using the original payment method where reasonably possible.
Bank charges, payment-processing fees, currency-conversion costs, and other non-recoverable transaction charges may be deducted from the refundable amount where applicable.
Where a refund depends on the recovery of funds from a supplier, the refund may be processed after those funds have been recovered.
06Payment of the Remaining Balance
The remaining 70% balance is payable no later than 45 days before the confirmed arrival date, unless otherwise agreed in writing.
If the remaining balance is not received by the due date, Active Wonders Safaris will contact the client to request payment and confirm the status of the booking.
A short extension may be granted at the discretion of Active Wonders Safaris, subject to the availability and cancellation policies of accommodation providers and other suppliers.
If payment is not received within an agreed extended period, Active Wonders Safaris may cancel the booking, and applicable cancellation charges may apply.
For bookings made within 45 days of the confirmed arrival date, full payment may be required at the time of booking.
07Cancellation by Active Wonders Safaris
In exceptional circumstances, Active Wonders Safaris may need to modify, postpone, or cancel part or all of a safari due to circumstances beyond our reasonable control.
Such circumstances may include:
- Government restrictions;
- Changes to park or conservation regulations;
- Natural disasters;
- Severe weather conditions;
- Political or civil disturbances;
- Public health emergencies;
- Safety concerns;
- Closure of national parks or protected areas;
- Supplier failure; or
- Other circumstances beyond the reasonable control of Active Wonders Safaris.
Where possible, Active Wonders Safaris will seek to offer a suitable alternative arrangement, replacement service, amended itinerary, or alternative travel date.
Any refund will be assessed based on the services paid for, amounts recoverable from suppliers, and the circumstances of the cancellation.
Active Wonders Safaris will not be responsible for amounts retained by third-party suppliers that cannot be recovered.
08Changes Instead of Cancellation
If a client wishes to change their travel dates instead of cancelling their safari, Active Wonders Safaris will make reasonable efforts to accommodate the requested change.
Date changes are subject to:
- Availability;
- Accommodation policies;
- Park and conservation fee regulations;
- Supplier terms and conditions; and
- Any additional costs resulting from the change.
Additional costs arising from a change of dates may be payable by the client.
If the original suppliers cannot transfer or amend existing reservations, the requested date change may be treated as a cancellation and a new booking.
09No-Show
If a client fails to arrive for a confirmed safari without providing prior written notice, the booking may be treated as a no-show.
A no-show may result in the loss of the full amount paid, depending on the cancellation terms of the relevant accommodation providers, suppliers, and other service providers.
No refund will normally be available for unused services resulting from a no-show.
10Travel Insurance
We strongly recommend that all clients obtain comprehensive travel insurance before travelling to Tanzania.
Travel insurance should ideally cover:
- Trip cancellation;
- Trip interruption;
- Medical expenses;
- Emergency evacuation;
- Delayed or cancelled flights;
- Lost or delayed baggage; and
- Other unexpected travel-related circumstances.
Active Wonders Safaris is not an insurance provider and does not guarantee that a client’s travel insurance policy will cover a particular cancellation, loss, or change of travel plans.
Clients should carefully review their insurance policy before travelling.
11Important Information Regarding Refunds
Our cancellation policy reflects the advance commitments made to secure safari services.
Safari arrangements often involve advance payments and non-refundable commitments to accommodation providers, national parks, conservation authorities, transport providers, and other suppliers.
For this reason, refunds may be limited or unavailable, particularly for cancellations made close to the scheduled arrival date.
